How to enter bookings for multiple shifts/dates
There are two different options available when entering shifts into the system.
SINGLE
It is designed for the quick entry of single shifts.
MULTI
It is designed for entering multiple shifts and/or multiple dates.
To learn how to enter Multiple shifts and/or multiple dates please follow the below steps.
Click on ‘Multi’ found in the Allocations Tool Bar menu
A new Tab on your internet browser will appear.
Starting from the top left begin entering in data against the Mandatory fields marked with a Red * and include any optional fields where required
Service location* - The client location where the staff member is to attend.
Delivery location - Is a space or area within a Service Location. For example, North West Hospital has an “Maternity” ward.
Qualification * – The key skill/qualification requested by the client.
Expertise - Specific subskills or information requested by the client.
Sub Expertise - Sub sets of skills that fall under specific expertise.
To add in consecutive dates select the 'Period Date' tick box and applicable options for the Day & Date requirements.
Period Date - If selected allows users you to apply a 'From' and 'To' date range for shifts.
No Weekend - If selected will exclude creating shifts for Saturday and Sunday in a date range.
No Public Holidays - If selected will exclude creating shifts for listed Publich Holidays.
Shift Type* - The availability type of the shift. For example Morning = AM, Afternoon = PM
Start* – The start time of the shift
End *– The finish time of the shift
Select or enter the Professional name (Key Contact) who requested the booking.
Other optional fields you can update are:
Order Number - If the client has provided an order number to be included on the invoice
Booking notes – Here is where you can add notes that are specific to the shift. You can choose to have these as internal notes, or client/ member facing.
Appoint Member – This field allows you to directly choose a member to nominate against the shift.
If you choose to appoint a member you will be required to choose what status you want to enter the shift as.
Authorisation - This is an additional field if you are required to record a secondary personnel for shift approval.
Pay Level - This can be an optional or mandatory field depending on your system settings. This will allow you to appoint a paylevel for the shift instead of using the level set against the members profile.
Ref No. - This is an additional field to add in any extra data for reference. Depending on you invoice settings this may appear on the invoice.
Serving Office - This is automatically appointed form from the client profile and you won't need to update it unless the office is different.
