Member Allocations

Rather than Client Allocations, Member Allocations is matching Shifts to the specific Member whereas Client Allocations is matching Members to Specific Shifts.

Allocations Tool Bar

Filter: Member Allocations can only be seen on a one-day basis, but you can filter by the following selections

  • Date

  • Office

  • Availability

  • Shift Type

  • Qualification

  • Expertise

  • Zone

Refresh

This just refreshes your screen to show the most updated information.

Avail Note

This allows you to select a member with casual availability and update their availability notes, once you update select the icon which will save your notes.

Avail

This allows you to be directed to their availability screen.

Select the member and then click on the availability icon which will load up this page.

Pref

If you select the member and click on Preference this will bring up the following screen.

This is broken down into the following Tables

  • Contact Preferences (can be seen and edited by members using their mobile app/portals)

  • Geographical Preferences

  • Expertise (can be seen and edited by members using their mobile app/portals)

  • Service Location

  • Delivery Location

  • Location Function

  • Employment Notes (can be seen and edited by members using their mobile app/portals)

  • Transport Notes (can be seen and edited by members using their mobile app/portals)

R and R

This allows you to be directed to their Requests and Restrictions screen

Select the member and then click on the availability icon which will load up this page

Exit

Selecting this Exit icon will exit you from Member Allocations

Search Shift

Once you select a member you can do a search for shifts that day that they could do

You can search by either “Standard” or “ Expertise”

This will bring up all shifts that that member can do that day

You can use the icons to either

  • Allocate - Assign the shift to that Member

  • Accepted - Accept the shift on behalf of the Member

  • Booked - Book the member straight into the Shift

  • Confirmed - The Client Confirm the Member into the shift

  • R and R - Referred to their Requests and Restrictions

  • Exit - Go back to the Member Allocations Main Page

STANDBY

Member has opted to be on Standby.

DOUBLE SHIFT

Member has opted to accept double shifts.

AVAIL NOTE

Availability notes can be left by the Member or a User if the Member has a Casual Availability.

For example, you can note that the Member has selected that they can work a PM but they can only start after 4pm, etc.

The reason you can only leave a note next to a Casual Member is because their availability is constantly changing unlike a Member with Permanent Availability.

 

TYPE

Shows if the Member is has a Casual or Permanent Availability

 

STATUS

The Members will always show as Available from this screen

 

SMS

You can SMS Members directly but you are unable to send bulk SMS from this page

 

MEMBER

If you select the Members name it will bring up their Member Contact Card.

Please note that you are unable to use the ‘Shift Worth’ and ‘Track Arrival’ features as the Member is not booked into a shift yet.

 

GENDER

Members allocated gender -

F - Female

M - Male

O - Other

 

OFFICE

Which office they are attached to

 

PRIORITY

If you have allocated a priority number to your Members, it will appear here. This may make it easier for you to sort between Members that hold a higher Priority.

CAR

This column will show you that a Member has their own transport or not.

 

HISTORY

Will show all previous shifts they have worked

 

QUAL

Members Qualifications.

 

EXPERTISE

Members Expertise.

 

AVAIL

Members availability for that specific day.

It will only show if they have selected that they can work for AM, PM, SN. They can select as many or little as they like.

SUBURB

Members suburb.

 

HOME ZONE

Members home zone.

E.g. If their suburb is Kallista, their home zone would be Yarra Ranges.

 

TRAVEL

If you select this it will load the members travel information

 

DAY B4

This column will let you know if the Member worked the day before and what time.

 

DATE

What date you are looking at on the page.

Within this page, you are only able to look at one date at a time.

 

DAY

Corresponding day of the week.

 

LOCATION FUNCTION

What is the the location function

 

STAFF

User who entered the shift

 

REQUEST AND RESTRICTION

You can click on the highlighted 'R' in this column along the corresponding Member and it will show you a snap shot of their Requests and Restrictions.
